Stufe I Travel Expense Application for Doctoral Candidates

(to be submitted online as of January 1, 2023)

 

As part of internal university research funding, registered doctoral candidates at JGU have the opportunity to receive financial support for active participation in academic events. The funding amounts are a lump sum of €250 for events in Germany, €250 for virtual events, €500 for events in the rest of Europe, and €750 for events outside of Europe. This is a maximum amount, which may not be exceeded if rebooking is necessary. Only sums below this amount may be expended as needed. The funds are earmarked for the costs listed below.

 

Please note the following general information

  • Neither present nor former members of coordinated programs with an early-career research component (e.g. projects tied to a Collaborative Research Center, a (mini) Research Training Group, a research group, or EU Innovative Training Networks) nor employees of non-university research institutions (e.g. MPI, HIM, IMB) are eligible to apply.
  • A maximum of two applications per person per calendar year may be submitted.
  • The maximum funding amount during the doctoral phase is €2,500.
  • After you submit the form, a summary of your information will be displayed. This is your digital application; be sure to save it as a PDF document.
  • If you do not see a summary, please contact Stufe-I@uni-mainz.de, as your submissions have probably not been received and cannot be processed!
  • Have this PDF application digitally signed and send it by e-mail with all digital (or scanned) signatures to the Research and Technology Transfer Department (Stufe-I@uni-mainz.de).
  • Obtaining signatures may take time, please plan for this.
  • Incomplete applications will not be processed. This also applies in particular to required fields that have not been filled in, have been filled in incorrectly or have not been filled in completely!

Please note the following deadlines

  • All applications must be received in full by Research and Technology Transfer (Stufe I) prior to travel. Applications for retroactive funding will not be processed.
  • No applications will be processed between November 15 and December 31. Applications for conferences during this period must be received by November 15.
  • The digitally signed PDF application must be sent to Stufe-I@uni-mainz.de and received within 10 working days of filling out this form; otherwise, this is a reason for rejection.

Information on eligible events and costs

The following can be funded

  • Active participation in conferences, conventions and workshops with a lecture or poster presentation component
  • Travel expenses (taxi or rental car only with special permission)
  • Direct accommodation costs (excluding breakfast or other meals)
  • Registration fees/conference fees (excluding conference dinner, social program)

The following cannot funded*

  • Research or archive trips
  • Participation in summer schools, other educational or training trips
  • Individual lectures in seminar series or guest lectures/evening lectures etc.
  • Meals/daily allowances
  • Memberships
  • Printing costs for posters
  • Costs for the purchase of a Bahncard or similar membership discount card

* Doctoral candidates in the Humanities and Social Sciences may apply for funding from the “Short Stays Abroad“ programme of the Gutenberg Graduate School of the Humanities and Social Sciences (GSHS) for research-related trips abroad that are not eligible for funding from Stufe I funds, subject to certain conditions.

Attempts to receive funding for non-eligible costs (e.g. via rebooking) may result in the reclamation of all approved funds. For detailed information on financial processing, please refer to the allocation notice.

Required attachments and signatures

The summary must be digitally signed by:

  • the applicant
  • the doctorate supervisor
  • the head of the institute/department or the equivalent next-highest structural unit, or someone from faculty management

The following must be attached with the digitally signed PDF application (preferably in one file):

  • Proof of active participation by the organizers (e.g. confirmation of acceptance of the lecture/poster, personal invitation, excerpt of the program)

Information provided outside the application form, for example in a cover letter, will not be considered. Please refrain from sending additional, not explicitly requested documents and attachments, in particular letters of recommendation, invoices, quotes, receipts, copies of business trip applications, etc.
